The Erasmus+ programme
Erasmus+ allows students or staff to travel to a university abroad with financial support from the European Union.
This website is intended for students who plan to
travel abroad with Erasmus+ programme
(outgoing). Students who want to come from abroad to study at
Charles University through Erasmus+ programme (incoming) should consult the Erasmus+
(Incoming Students) website. The administration procedure for staff mobility
(Academic and non-academic) is described on the websites here:

Basic information for outgoing students
Erasmus+ website at Charles University gives principal information on studying abroad under the Erasmus+ programme – for whom it is intended for, destinations, when to go, how to go, how many times you can go, required language level for participation on mobility abroad, reasons for doing it, types of stay).
The website also provides links to information on six different types of mobility, each of it with practical information how to apply and what to do before, during, and after your stay. The following types of mobility are offered:

The instructions on how to apply for a given type of mobility are common to all faculties and units of Charles University and in some parts refer to the specific requirements of individual faculties, faculty websites, or directly to the „Faculty Erasmus+ coordinator“>:[https://cuni.cz/UKEN-199.html].
In the case of Faculty of Mathematics and Physics, these are the following clarifications:
Selection procedure:
- 2× per year. Deadlines are listed here on the faculty’s website (February, September)

- Having average grade up to 2.5 (including this score) as listed in the SIS at the time of application for Erasmus mobility (average grade is not required for Ph.D. students), 1st year bachelor's students must obtain at least 25 credits for the winter semester and have a minimum average of 2.00 (including grades 4)
- Application forms must be filled in correctly and submitted on time in Erasmus application of Charles University via CU Web Applications: https://is.cuni.cz/webapps/?lang=en
- Preliminary Learning agreement, which must be included in the Erasmus application(in the case of an traineeship, the traineeship plan, description of traineeship)
- Applying for traineeships
and Ph.D. mobility abroad:
- Traineeships at Erasmus partner’s universities abroad are arranged by students themselves, i.e. they are not nominated by the Erasmus+ coordinator. A letter of invitation (acceptance) from the partner institution must be sent to eliska.zabrodska@matfyz.cuni.cz
- Students can apply in the same way as for the selection procedure for Erasmus study mobilities (Erasmus application of Charles University via CU Web Applications: https://is.cuni.cz/webapps/?lang=en), ) it is possible make it throughout the whole academic year, but (!) no later than two months before the supposed start of the Erasmus traineeship; however possibility of this mobility depends on the remaining funding for traineeships. For this reason, contact your Erasmus coordinator first.
- Special: If you wish to arrange an Erasmus+ traineeship at the institution, which is not in the traineeship faculty’s offer, write to: eliska.zabrodska@matfyz.cuni.cz
- Please
note:
- In the case of a large number of applications, the selection process is based on the best grade point average of the applicants, with priority given to students in the following order: PhD, Master's, Bachelor's students.
- If the number of applying students to a partner institution exceed given amount, we still try to nominate all applying students; however, the partner institution may not accept all nominations. Candidates are usually selected according to their average grades. Students whose nominations are not approved can be offered an alternative partner university.

Before mobility:
- Applications for the selection procedure for a particular
type of mobility must be submitted through the Erasmus+ application in the
Charles University web app: https://is.cuni.cz/webapps/?lang=en.
- Detailed information about submission can be found on the website for the type of stay in the How to Log In section.
- It is allowed to submit up to three applications for one student for study stay, student can choose from Erasmus+ partner ‘s universities listed in the Erasmus application. The order of applications reflects their priority..
- Partner
universities in Erasmus+ Programme
- Student chooses a university for study abroad according to her/his study programme at Faculty of Mathematics and Physics. However, it may happen that their courses are taught in different study programmes at partner university than is listed in Erasmus+ application. Then it is necessary to contact the coordinator from the partner university to check whether it is possible to register for these subjects, even if the agreement is concluded under another programme.
- Attention! All partner universities have different application’s deadlines and universities usually change them every year. Student should check the current dates on the website of future partner university by himself/herself to make sure that the application is not submitted late.
- Learning Agreement (LA): Sample
of LA.
- LA is an integral part of the Erasmus+ study stay application. Students fill in the courses they plan study abroad and these courses correspond with their study programme at Faculty of Mathematics and Physics.
- If courses at partner university are optional, the student doesn’t need to search for equal/ similar course at Faculty of Mathematics and Physics (MFF), but (s)he simply transfers the courses from the partner university to his/her study programme at MFF, credits from partner university will be recognised. Courses will be marked as optional. Table A is the same as Table B including the credits.
- If student want a course from the partner university to be recognized as an obligatory or elective course at MFF, s/he need to find the matching MFF course with help from your programme guarantor. Table A: list the partner-university courses and their credits. Table B: write the equivalent MFF courses and their credits (put the partner university course code in brackets). Mark each course as obligatory or elective. Optional courses don’t need an MFF equivalent — just copy the partner university courses from Table A, including their credits.
- LA must meet the required conditions – obtaining at least 20 credits per semester for a bachelor's degree programme, or at least 15 credits per semester for a master's degree programme
- If LA is not uploaded on time – it means by the faculty’s application deadline, the whole****application for Erasmus+ mobility is stopped.
- Students are informed about successful nomination for Erasmus+ mobility abroad within 15 days after the faculty's deadline via Erasmus+ application: Status is changed from „Submitted“ to „Nominated“. After successful nomination for a mobility abroad, student must receive also an acceptance e-mail or confirmation of her/his application from the future partner university. This email may have a certain time delay, and the student must check the future partner university's application deadline and if necessary, contact the partner university.
- The student should immediately after receiving an acceptance
email from partner university follow these steps:
- Forward your acceptance email to eliska.zabrodska@matfyz.cuni.cz
- Download your Learning Agreement (LA) from the online application. Adjust it if needed according to the partner university. Send the LA (file name Surname_Name_LA.pdf) to your programme guarantor and ask him/her to confirm it and send the confirmation to eliska.zabrodska@matfyz.cuni.cz (the confirmed LA must be in the attached file).
- Receive approved documents – The faculty office will get the vice-dean’s signature and send the approved LA and your application with a photo back to you by email. Any later changes to the LA must again be approved by your programme guarantor and entered in the online system, otherwise your credits may not be recognised.
- Get your application confirmed – sign the application with your photo, have it confirmed by the partner university, and send it to eliska.zabrodska@matfyz.cuni.cz. Once the office receives your confirmed application and acceptance letter, the application status will change to “Accepted.” Before this, check your departure and return dates in the online system.
- After acceptance, you must enter your euro bank account number and adjust your travel method, if necessary
Special: Online Learning Agreement (OLA)
- Some universities require an OLA (https://learning-agreement.eu/); If it is necessary to submit this form, student will log in to the system using her/his SIS access data and fill in a learning agreement according to the instructions. It is important to write Eliška Zábrodská, e-mail address eliska.zabrodska@matfyz.cuni.cz as contact person at Faculty of Mathematics and Physics. This Learning agreement must be „signed“ by all three parties as well. This document can be replaced with a signed application from Erasmus+ application. The student is also obliged to update the learning agreement in webapps of CU according to the data in the OLA.
- After entering the bank account
number, the student receives an e-mail with a request for the personal visit of
the European Office, where (s)he must sign the financial agreement for Erasmus+
mobility. This step happens approximately 30 –15 days before departure.
The financial agreement must be signed at least 1 day before departure,
otherwise the student will not be able to leave and get
scholarship.
Student should bring following documents to the European Office at the Rectorate offices at Ovocný trh 3, Prague 1
- Confirmed application form with photo or OLA
- Confirmed learning agreement from the web app
- Letter/email of acceptance from the partner institution
During mobility:
- Changes to the Learning
agreement
- After arrival to partner university, it is possible to make changes of the Learning Agreement according to current offer of courses at partner university in the Erasmus+ Application. It is possible to mark the courses for deleting and enter newly chosen courses.
- A student should download updated list of courses so called Changes to Learning Agreement in PDF format, e-mail it to the guarantor of the programme and ask them to send the approval of changes to eliska.zabrodska@matfyz.cuni.cz
After Return

A student also should send scans of the Transcript of records and confirmation of the period of study abroad to the following e-mail address: erasmus-outgoing@matfyz.cuni.cz. Students must have their Erasmus+ credits recognized by their student advisor. You need to submit the following documents:
- Learning agreement approved by the Vice-Dean for Student’s Affairs
- Transcript of records from the partner university
- Application form – available on the Student Affairs department website; use it to apply for the recognition of credits from Erasmus+ mobility.
Recognition of courses
- Courses that are listed in an approved learning agreement are automatically recognised as obligatory, elective or optional, depending on how they are designated in the learning agreement. Courses that are not listed in an approved learning agreement are not recognised.
- Optional credits, as recorded in the transcript of records from the partner university, are recognized as completed optional courses. If the number of credits obtained for completed optional courses is not an integer, it is rounded down to the nearest lower integer. Grades for completed optional courses are not transferred.
- Completed courses that have been approved as obligatory and elective courses are recognised as their equal course at Faculty of Mathematics and Physics, as listed in the approved learning agreement. Credits are given according to the number of credits of the equal course at Faculty of Mathematics and Physics. Grades from these courses are transferred; grades on the A-F scale are converted according to established practice at Charles University (A, B = excellent, C, D = very good, E = good). Grades on other scales are converted using a similar method.
- If a student does not meet the conditions to register to the next study section due to obtaining only the number of optional credits during his/her Erasmus+ mobility, (s)he must request permission through the student affairs department to include optional credits towards their study record. These requests are usually granted.
